Miss Mariana is in charge of maintaining the safety of your personal data. Dentists and other dental professionals who are directly involved in your care and treatment, as well as receptionists responsible for the practice’s management and administration, will have access to your information.

We keep records of the fees assessed, the amounts collected, and certain payment details. This data is necessary for us to fulfil the financial and legal obligations of our dental care contract with you.

If you receive dental care through the private Health Service, we must fill out certain paperwork in order to receive payment. In accordance with your insurance regulations, this is necessary.

What We Do With the Data You Give Us

For us to be able to give you the dental care and treatment you require, we need current and accurate data about you. 

If your dental care is covered by any private insurance company , we will share your data with them. 

Quality assurance surveys or questions about your experience with care may prompt us to get in touch. 

We’ll ask you how you’d like to be contacted about your oral health care needs. Regular communication channels include the telephone, electronic mail, and conventional mail. 

We will inform you of our intentions to use your data for dental education and research before proceeding. If it serves our purposes, we will remove any identifying details from your data. If that isn’t possible, we’ll let you know and go over other options. 

We may use your information to get in touch with you about the services and goods we offer at our clinic.

Exchanging Data

Typically, only the staff at the practise will have access to your information, but there may be times when we need to share it with others, such as:

  • A medical professional.
  • Specialized dental or medical care to which we may direct you from your treating dentist or physician.
  • Finance managers for the insurance or collection companies.
  • Where you are seeking insurance fee waivers or reductions, please contact the Department of Work and Pensions and associated agencies. 
  • Dental clinics Collectors of past-due accounts unpaid or uncovered by insurance within 45 days.
  • The private dental insurance plan(s) in which you participate.

We will only share your information with those who have a genuine business need to know it, and even then, only the bare minimum. If we need to share your medical records with another facility, we will notify you beforehand and provide you with their contact information. 

We may share your information with government or law enforcement agencies if we have a good faith belief that they need it to do their jobs or if the law requires it. 

You should talk to your dentist if you do not want us to use your personal details in the ways described above. You may lose access to our dental services if you disagree with the way we collect and use your information.

Protecting the Confidentiality of Your Data

Your private information is safely stored in both electronic and paper forms in our office’s computer system and filing cabinets. Only those who work at the practise have access to your information, which means no one else can see it. They are aware of the importance of keeping information private and take the necessary steps to protect it.

For the safety of our patients, staff, and property, we have implemented several measures to protect our office, its files, and its computers.

In order to record and utilise your personal information in a secure and efficient manner, we use high-quality specialized dental software. We regularly back up data and maintain a secure audit trail on our computer system.

Some of your data may be kept in remote servers in the cloud. When it comes to meeting our obligations as outlined in this policy and maintaining the security of your information, our practise has a strict agreement with our provider.

Upon your request, we will erase any data that is not absolutely necessary (such as some contact information) before the end of the specified time frame.

YOUR RIGHTS TO INFORMATION ACCESS AND MORE

Access to and a copy of all personal data we maintain about you are guaranteed under the law. In most cases, you will not be charged for copies of your information, and if we do, we will give you a good reason.

You may ask us to revise the record if you find errors or omissions. We will notify any third parties to whom we have previously disclosed the updated information.

Clear out some of the data we have. Sometimes, we just can’t throw away records, and the laws just won’t let us (for example, information about your dental treatment). If you’d like, though, we can remove your name, address, and other personal details that aren’t directly related to your health.

Cancel further use of your data, such as appointment reminders or service updates. However, if you have previously authorised us to send you promotional materials, you may revoke that authorization at any time.

If you think the data is wrong or that we are misusing your data, please stop using the data immediately.

You can share your data with a different dentist electronically.

Your personal information will no longer be used for the purpose for which consent was originally granted.
